What events belong to the LASER World of PHOTONICS exhibition network?

LASER World of PHOTONICS trade fairs and their congresses are the most important marketplaces and think tanks for the global laser and photonics industry and those who use its products and solutions. They unite research and application and promote the use and further development of the Photonics industry. LASER World of PHOTONICS has been organized by Messe München every two years since 1973. The World of Photonics Congress is held at the same time as the fair. It is the leading European scientific conference in the sector for photonics and laser research and one of the Top 3 in the world. The spin-off exhibition LASER World of PHOTONICS CHINA is the leading regional trade fair for the Photonics industry in China. It takes place every year in March. Since 2012, LASER World of PHOTONICS INDIA takes place annually. It is the regional platform for the laser and photonics community in India.

New since 2022 is the World of QUANTUM, which, as a trade fair platform for the quantum community, will in future be held parallel toLASER World of PHOTONICS and address all components and systems of quantum technologies as well as the fields of application.

What is the difference between a co-exhibitor and a joint exhibitor?

A co-exhibitor is a company or organization whose own employees present its products and services at the stand of a main exhibitor. This includes group companies and subsidiaries. You can get the link to the online registration for co-exhibitors from your main exhibitor. The registration form for co-exhibitors is available only upon request and must be signed by the main exhibitor.

A joint exhibitor is a company or organization whose own employees present its products and services at a shared stand organized by a shared stand organizer. The registration form for an exhibitor at a shared stand must be signed by the organizer.

Is there a free WiFi network that I can use at the trade-fair center?

Free WiFi service is available to visitors throughout the trade-fair center and in the halls. Once you have entered the access code, you may use the service for one day and for a data volume of up to 50 MB. Here you will find additional information about using the visitor WiFi.

Due to the above limitations, we highly recommend that exhibitors order a LAN connection for their stands.

Is smoking permitted at the trade-fair center?

Smoking is generally prohibited in the exhibition halls. Please smoke only in designated smoking areas.

Am I allowed to bring my dog onto the exhibition grounds of Messe München?

No, according to Messe München´s house and user rules it is not allowed to bring animals onto the exhibition grounds with the exception of guide dogs and other assistance dogs.

Where can I check my coat or luggage?

You may check your coat or luggage in all entrances to the Messe München trade-fair center.

Is photography permitted at the trade-fair center?

Photography at the trade-fair center is only permitted if authorized in advance by Messe München.

Is there barrier-free access at the Messe München exhibition center?

Messe München was designed and built barrier-free. Contact us by telephone or e-mail ahead of time to get information about special admission fees and parking alternatives as these can vary, depending on the event.

How do I get to the trade-fair center?

In which exhibition sectors at LASER World of PHOTONICS and World of QUANTUM may I exhibit?

To participate in LASER World of PHOTONICS as a main or co-exhibitor, you must be eligible to be admitted to one of the fair’s exhibition sectors.

How can I register to exhibit at LASER World of PHOTONICS?

To participate in LASER World of PHOTONICS, you must complete an online application. Based on the information provided on the form, we will check to see if your company is eligible to participate as an exhibitor.

At which joint pavilions can I exhibit?

When is the application deadline?

We will start the placement in August 2022 based on all registrations then available. Please apply by then so that we can still consider your placement requests. Please find all important deadlines under Dates and Logistics

When will we receive our stand proposal (stand location and stand number)?

You will receive your stand proposal for LASER World of PHOTONICS from autumn 2022.

When do we receive the admission invoice?

When we register for the fair, what does that include?

When you submit your application, it only concerns stand space at LASER World of PHOTONICS. Your application fee automatically includes the communications fee (mandatory entry in the exhibitor directory—online and catalog), the AUMA (Association of the German Trade Fair Industry) fee, a removal fee for waste generated at the trade-fair center during the fair and an energy cost surcharge. When you submit your application, you will also receive an invoice for your advance payment for services.

Other services such as stand construction and any necessary furnishings and equipment (such as partition walls, carpeting, electricity) as well as exhibitor passes and advertising materials to meet your exact needs can be ordered through our web shop. We will automatically inform you once the web shop is available.

Which access data do I have to use for the online registration?

Please log in with your access data.

The access data for exhibitor online application are identical to the access data of the Exhibitor Shop of Messe München GmbH. If you already have access to an Exhibitor Shop of Messe München GmbH, please use the e-mail address and the associated password that you used for the last event. If you cannot remember it, please use the function "Forgot password?". If you do not have any access data from a previous event, please register anew via the 'Register' function.

What additional services can exhibitors order?

As an exhibitor, you may also order a number of other additional services. They cover everything from assistance with stand construction, stand equipment and technical services to exhibitor passes, advertising materials and support to help you prepare for the fair and ensure the success of your exhibit. Details are available in our Exhibitor Shop, where you can conveniently order these services online. We will inform you once that service is available.

Are discount congress tickets available to exhibitors?

Each exhibitor participating in LASER World of PHOTONICS receives one free ticket to the World of Photonics Congress. Beyond that, each exhibitor may purchase up to five congress tickets at a special price. After that, all additional tickets to the World of Photonics Congress must be purchased form one of the organizing scientific associations at the regular price. Each ticket is personalized and may only be used by the person to whom it is issued. Tickets are not transferrable.

How many exhibitor passes do I receive as an exhibitor?

Each exhibitor receives a specific quantity of free exhibitor passes for his stand for the duration of the fair.

  • up to 4m² of stand size: 1 exhibitor pass
  • up to 12m² of stand size: 2 exhibitor passes
  • up to 20m² of stand size: 3 exhibitor passes
  • from 20m² for every additional 20 m² or part thereof: 1 exhibitor pass (in addition)

Additional exhibitor passes may be ordered for a fee of 56.00 EUR/pass in the Exhibitor Shop.

Exhibitor passes are only intended for stand personnel and may not be passed on to third parties. We reserve the right to confiscate exhibitor passes if they are misused.

Including co-exhibitors at your stand does not increase the number of exhibitor passes.

What should I do if my contact person has changed and how can I transfer the account?

If your contact person has changed, you will need to re-register.

If your contact person changes after you have already applied for LASER World of PHOTONICS , please re-register and contact the project team. You will not need to apply again; the project team will merge the two accounts for you.

Is it possible to set up a subaccount when registering?

No. Subaccounts can be set up only for the exhibitor shop, not for the registration account.

Have you applied for LASER World of PHOTONICS, but not received a confirmation email?

If you have not already done so, please check your spam folder first. If you still cannot find the email, please contact exhibitor@world-of-photonics.com .

Is it possible to cancel our application without incurring any costs?

Cancellation is free of charge if it occurs after the exhibitor has submitted an application and before the exhibitor confirms the placement proposal that we send out.

When are fees incurred for a cancellation and what are the cancellation fees?

In the event that you cancel your participation in LASER World of PHOTONICS, you will be required to pay a flat-rate reimbursement of expenses amounting to 25% of the participation fee provided that the stand space can be re-lets to a new exhibitor. Otherwise you have to pay the full participation fee. You can find more information on this in our General Terms of Participation A / A5 Cancellation of contract.

How can we book advertising and sponsorship offers for LASER World of PHOTONICS 2023?

Advertising and sponsorship offers at and in the vicinity of the trade-fair center are available exclusively to exhibitors, co-exhibitors and companies at joint exhibition stands.

May co-exhibitors exhibit at our stand? And if so, how can they register?

Yes, after the online registration of the main exhibitor, the co-exhibitor can make the registration via a separate link, which he receives from the main exhibitor. The application fee for co-exhibitors, which includes the mandatory communications fee, is 845 euro. The main exhibitor will be invoiced for this fee.

All co-exhibitors have the same advantages as main exhibitors and will be listed separately as exhibitors in the exhibition catalog and in the online exhibitor directory

What are vouchers and online vouchers for one-day tickets?

Vouchers and online vouchers for one-day tickets are free admission vouchers for your customers that you can order in our Exhibitor Shop.

Online vouchers are a particularly quick, easy and cost-effective way to invite your customers to visit your stand.

Calculable costs!

We will charge you EUR 25.00 per online-voucher. However, you will only be charged for tickets actually used and the payable amount is capped depending on the size of your stand: If your stand area is below 100 m², you will pay for no more than two tick-ets. If it is equal to or in excess of 100 m², you will pay for no more than one ticket per square meter of your stand area.

Co-exhibitors that do not belong to the same group of companies as the main exhibitor pay for no more than 20 redeemed ticket vouchers.

Sample calculation for main exhibitors

If you rent a stand of 20 m²: 20 x 2 = 40. You will pay for no more than 40 ticket vouch-ers and the maximum total will be 40 x EUR 25.00 = EUR 1.000.00. Your vouchers and online vouchers will cost no more than EUR 1.000.00, regardless of how many you or-der. If fewer ticket vouchers are used, you will only pay for the actual number of re-deemed vouchers.

If more visitors use their online vouchers than the number calculated using the above system, you do not have to pay anything for the those additional, used tickets!

So invite as many visitors to your stand as you like—it really pays off!

What participation costs will I incur as a main exhibitor?

Here you will find an overview of all participation costs, which consist of the square meter price of your stand area and transparent additional costs.

What other costs are there in addition to the participation fee?

The admission invoice includes the mandatory communication fee, the AUMA (Association of the German Trade Fair Industry) fee, the mandatory waste disposal fee at the trade-fair center during the fair and an energy cost surcharge. When you submit your application, you also agree to make a down payment for any services that you order.

Any additional services that you need, such as stand construction and related furnishings/equipment (e.g., partitions, carpeting, electricity) as well as exhibitor passes and advertising materials, can be ordered for a fee through the Exhibitor Shop. We will automatically inform you as soon as the online order system becomes available.

What is the AUMA fee?

The Association of the German Trade Fair Industry (AUMA) protects the interests of the German trade-fair industry with an extensive range of programs and services. In return, it charges all exhibitors a fee of € 0.60 (net) per square meter of rented exhibition space. Messe München invoices exhibitors for this fee and passes it along directly to AUMA. This is a customary practice among organizers of trade fair and exhibitions in Germany. Information about AUMA is available here: www.auma-messen.de

What is the mandatory fixed-rate waste-disposal fee for the duration of the fair?

The mandatory fixed-rate waste-disposal fee for the set-up and dismantling as well as the duration of the fair covers the costs of disposing of waste that collects at the exhibitor’s stand during the fair itself. The fee is € 4.90 per square meter of stand space plus VAT.

What is the mandatory communication fee?

The communication fee of € 745.00 includes the basic entry (1) in the trade fair media (print, online and mobile) as well as one copy of the visitor guide (handout on site at the fair, as long as the supplies last). It also covers the basic entry in the visitor guide and other communication services. Exhibitors can book other entries in the respective advertising media for extra charges. The additional listing and promotion opportunities as well as prices can be seen on the respective order forms, which will be sent to exhibitors by the appointed media service partner (jl.medien GmbH) .

  • Alphabetical exhibitor directory: Company name, street, postal code, place, country code, telephone and fax numbers, e-mail and website addresses, hall and stand number
  • Teaser text (max. 150 characters German and English) in the online exhibitor directory in all alphabetical exhibitor lists plus 800 characters corporate text (German and English) in the exhibitor profile in the online exhibitor directory and in the app.
  • Application directory: Two entries with company name, hall and stand number
  • Products and services directory: Two entries with company name, hall and stand number
  • Social media links (online and mobile)
  • Entry in visitor guide

What is the advance payment for services?

A fixed-rate advance payment of € 20 (net) per square meter of rented exhibition space is included in the admission invoice for services such as electricity, water and telephone connections. This advance payment does not depend on the existence or size of any order(s) actually placed. After the fair, the advance payment will be applied in the final invoice to the cost of services actually ordered.

What is the energy cost surcharge?

In principle, the participation fee includes the costs for lighting, heating and air conditioning of all exhibition spaces. Due to the recent sharp rise in energy prices, Messe München GmbH is forced to charge an additional energy cost surcharge of 5.00 EUR/m² of rented exhibition space.

Do I need an exhibitor pass for the periods of setting up and dismantling?

Exhibitor passes are valid for the set-up and dismantling periods. The rules for entering the exhibition grounds can be found in the Traffic Guide.

Who can we contact about questions of a technical nature?

If you have questions of a specific technical nature, please contact our exhibitor Technical Services Team.

Where can I find information about stand-building guidelines, the Technical Guidelines and the prescribed fire-resistance classification of building materials?

Stand-building guidelines for LASER World of PHOTONICS and information about stand safety, such as fire protection, can be found in the Technical Guidelines of Messe München GmbH.

Are the exhibitor’s own technicians allowed to work in the utility ducts at Messe München?

No. For safety reasons, cables and lines may only be installed by technicians who work for Messe München GmbH or its official service partners.

What should I do if there is a disagreement about stand borders?

If there are questions about the borders of your stand, please contact the responsi-ble member of the exhibitor Technical Services Team. He/she will either solve the dispute directly or have the stand space measured again.

Where can I get information about traffic guidance and logistics during set-up/dismantling?

As a rule, our Traffic Guide should answer all of your questions. If you have additional questions, please contact the Traffic and Safety Department.

What should I keep in mind when it comes to fire protection?

  • Actions involving fire hazards, such as fire emitting sparks (firewood, charcoal, etc.), are strictly forbidden on the entire trade-fair grounds.
  • For fire-safety reasons, the use of liquefied petroleum gas (e.g., patio heaters) is prohibited due to the size of the exhibition and proximity of the stands. The use of electrical cooking appliances is recommended for the preparation of food.
  • Pyrotechnic effects are prohibited on the entire grounds.
  • The use of compressed gases is only allowed for demonstrating exhibits; the use must be restricted to a minimum. Only the quantity required for a single day may be kept on the grounds. If compressed gas is used, Exhibitor Technical Services must be notified in writing indicating the amount to be used (Form 1.2 – accessible via the Exhibitor shop). We reserve the right to stipulate additional requirements.
  • Flammable liquids are to be kept to a minimum. Only the quantity required for a single day may be kept on the grounds. If flammable liquids are to be used, Exhibitor Technical Services must be notified in writing indicating the amount to be used (Form 1.2 – accessible via the Exhibitor shop). We reserve the right to stipulate additional requirements.
  • Escape and rescue routes must be kept free, both within and outside your own area. Within the stand, lines of sight are required for meeting rooms and lounges. In your planning, please also remember to arrange for corresponding storage and logistics areas for your catering, so as not to block escape and rescue routes within your stand.

What requirements should I keep in mind when exhibiting and/or demonstrating machines and equipment?

  • Machines exhibited at trade fairs in Germany must generally comply with the requirements of the national implementation of the EC machinery directive (2006/42/EC) with regard to construction and equipment. Exhibits without CE markings must be provided with a clearly legible sign that indicates that they do not meet the requirements of €opean product-safety laws and can only be purchased in countries within the €opean Economic Area if compliance with the corresponding provisions is made.
  • Additionally, compliance is required with the requirements for occupational safety in the operation of machines and equipment, the Occupational Safety and Health Act and the Ordinance on Industrial Safety and Health

What do I have to consider when it comes to laser protection?

  • Lasers of the classes 1, 1M, 2, 2M, 3R, 3B and 4, which are shown in function within the framework of the product presentation DGUV regulation 11 as well as after being shown for advertising purposes (laser show), are in accordance with § 5 paragraph 1 of the BG regulation BGV B2 "Laser radiation" (see also the instructions for the implementation of BGV B2 in the updated reprint version of April 2007, the Occupational Safety Regulation on Artificial Optical Radiation - OstrV and the Technical Rules for the Occupational Safety Regulation on Artificial Optical Radiation - TROS)
  • The contractor must appoint in writing experts as laser safety representatives for the operation of laser equipment of classes 3B and 4.
  • The standard DIN EN 60825-1 "Safety of Laser Equipment" was fundamentally revised and has now been published in the July 2015 version. Among other things, new laser classes were introduced.
  • The exhibitor is liable to Messe München GmbH for all personal injury and property damage caused by the operation of the laser equipment, even if the exhibitor commissions a third party to install or operate the equipment. Please also inform your liability insurer, as general liability insurance may not cover damage caused by laser or maser beams.
  • All types of optical or moving demonstrations and all types of presentations require the prior written approval of Messe München GmbH. They may not cause nuisance to other participants in the event and may not cause a crowd of visitors. Messe München GmbH is entitled to restrict or prohibit those demonstrations which, despite prior approval, lead to optical nuisance or for other reasons to a considerable impairment of the event or of participants in the event.
  • The operation of lasers will be examined by an expert. The laser equipment may only be put into operation if the requirements of the expert are met. Messe München GmbH reserves the right to prohibit the use of laser equipment.

What about logistics at the venue? Can we use our own cranes, forklifts or working platforms?

Please note that for safety reasons, cranes, forklift trucks and working platforms may only be used if they are provided by the competent service partners of Messe München GmbH pursuant to our Technical Guidelines No. 5.2. An overview of our contractors is available in our Exhibitor Shop.

Where can I get information about stand security and/or anti-theft protection?

Pursuant to the Technical Guidelines No. 2.5, Messe München GmbH or the security service contracted by it for the exhibition grounds provides guards at the gates and on the exhibition grounds. However, we cannot guarantee complete guarding and surveillance of the grounds of the trade-fair center. Exhibitors must arrange for security guards for their stands, exhibition goods and other objects at their stands, if required. Corresponding order forms are available in our Exhibitor Shop. Please keep in mind that exhibits and other objects brought in during set-up and dismantling times are at a greater risk.
